Huawei Technologies India Pvt. Ltd. (HTIPL) approached Genisys Software for an intranet based document management system for its CoD (Co-operation Division). Huawei’s CoD specializes in outsourcing software development projects to companies in India. The objective of this document management system is to streamline the flow and management of documents with partners organizations in a more collaborative manner.

Below are the key features of the system:

• The system helps in providing a centralized location for the different documents used within different projects
• The system provides a control mechanism for better security and control of the documents pertaining to each project
• The system generates a number of reports that will provide a summary as well as. CSV based data dump that can be extracted within Excel
• The system also has a task management module that will help users to create and assign tasks to others and follow them to completion

The entire Document Management System has been divided into five modules:

Masters
The module allows the administrator of the system to manage the users, groups and document types. This includes the assigning of the relevant privileges to the users on various reports available.

Document Manager
This module enables the users with the appropriate privileges to create and manage the project, folders and the documents contained therein. The user can log the access details of the documents and also view the checklist violations on a project.

Task Manager
The module provides the user the functionality of assigning and tracking the tasks to other users. The module also ensures that mails be sent to the assignee and the verifier of the tasks on the task status.

Reports
This module allows the user to create, modify and delete the reports. The search facility incorporated would make the user search for the appropriate reports.

Utilities
The module offers to the users the utility services that include changing the password and searching for the tasks.
